2020-10-15 Cemetery Board MinutesCity of Edmonds Edmonds Memorial Cemetery Board Meeting Minutes October 15, 2020 Via Zoom Call to Order Jerry called the meeting to order at 4:07 Members Present: Kerry Radley Joan Longstaff Melissa Johnson Jerry Janacek Ashley Robinson Tracy Little Members Absent: none Staff Present: Angie Feser Honorary Board Member: Betty Gaeng Approval of Minutes - September 17, 2020 (no additions or corrections) Chair Report • Jerry expressed appreciation to Cliff and Rich for meeting with the Board at the Cemetery to discussed Columbarium expansion. • Discussed board elections for November; Jerry is willing to continue as Chair, Tracy is willing to continue as Vice Chair. Kerry will think about the Secretary position. • Ashley Robinson, new Board Member, reintroduced herself. Finance Report: Not received this month. Staff Report: • Angie reports that she will present the Decision Package for the cemetery budget for 2021 to the City Council soon. The proposed purchase of a new mower will come out of the cemetery maintenance fund. • Cliff will be onsite at the Cemetery on Halloween night to make sure there are no shenanigans on the grounds. Sales Report - no report at the time of the meeting. 1 Old Business: • Joan, Terry and Ashley will take the OPMA Training this month. • Columbarium Expansion Planning - Phase 2 would add 174 new niches. 351 niches are currently available with half of those are already sold. *Discussed the appearance of the current Columbarium. Board members were unanimous that it is time to start planning for the expansion of the Columbarium. *Angie outlined the process with the City and the City Council that would get the project underway. Angie proposes meeting with Rich and Jerry to start mapping out the process for planning the expansion which would take place during 2 02 1. *Jerry asked for a motion to go forward with Columbarium expansion. Kerry made the motion for the Board to move forward with Phase 2 planning of the Columbarium expansion, Tracy seconded the motion. *The Board would be active in the decision making process for consultant/designer selection and other decisions along the way as representatives of the public. *Angie discussed the significant impact on the Parks and Rec. workload with planning and starting the construction and for the Board to be mindful of this, she would be the point person for the expansion project. • Discussed the status of running an ad for the Cemetery in the Edmonds Beacon. We are looking for a print ad for people who don't use a computer. It was noted that a lot of the Beacon content is online now. Joan was working with Jim Pompey on pricing but had not come to an agreement. Melissa suggested looking into advertising with the Everett Herald; Joan will follow up and have pricing numbers for the Board for the November meeting. It was agreed that we would like a print ad starting in 2021. New Business: • Betty announced that she would like to donate a flag to the Cemetery for Memorial Day. The flag was on her first husband's casket 53 years ago. She will also do a short write up on her husband to accompany the flag. The Board is very appreciative of this donation from Betty. We will also find out where it would be stored at the Cemetery to keep it safe.
