Land acknowledgement: Katy 2. Approve/Amend Minutes: One amendment was made to the October meeting minutes; Anne Nadreau attended the meeting. Anne moved to approve minutes with the amendment; Karyn seconded the motion; approved unanimously. 3. Approve/Amend Agenda: Kary motioned to approve agenda, Anne seconded; approved unanimously Continued Business: 4. 2023-Hekinan Delegation wrap up o Waterfront celebration amazing and went well o Hekinan felt everything was wonderful. The best year. Loved the train. o Welcome event- need more help with setting up, serving and clean up. It was a lot of work for one. o Halloween evening — next time a lighter dinner. o Discussed providing laminated name tags for the Hekinan group. Iyoko pointed out that they may not want to wear them. o Reminder: all commissioners should wear them all week. ■ Iyoko and Anne need new ones o Discussed providing business cards to commissioners for the purpose of exchanging business cards with Hekinan. Nice to have them just for this event. 5. New Officers o Slate of officers identified: Katy Renz, Chair and Karyn Heinekin, Secretary o Commission voted unanimously for both candidates 6. 2024 student exchange o Need to notify Hekinan by December 2023 if we plan to commit to a 2024 exchange o Discussed possible dates o Discussed COVID protocols: ■ Longer break in-between the two visits just in case any COVID cases arise ■ Parents would need to be responsible for any costs associated to student getting COVID, i.e., possible hotel accommodations for quarantine, airline travel date changes. ■ Recommend travel insurance. ■ Hekinan will need to agree to protocol o Carolyn to send proposed dates to Hekinan o Karyn and Carolyn will review/update application packets. o Press release needs to go out and website needs to be updated. o Chaperones: plan is to pull from Commission. o lyoko to reach out to contact regarding flight arrangements o As in previous years, students will cover costs for airfare and a portion of chaperones airfare.
