Alliance Meeting 10.8.15 Meeting called to order at 8:02 In attendance: Clayton Moss, John Rankin, Kim Wahl, Robert Boehlke, Pam Stuller, Patrick Doherty, Cindy Cruz, Nicole Herrin, Juliana Van Buskirk, Jordana Turner, Jacob Comstock, Kimberly Koenig, Cadence Clyborne Guests: Mary Kay Sneeringer-Edmonds Book Shop, Greg Urban -Edmonds Chamber of Commerce, Jessica Hanaumi — Sno Isle Libraries Opening Remarks — Only one meeting in Nov/Dec Minutes Review — Any comments or changes? Kimberly moves to approve minutes from 9.24.15, Robert seconds, All approved No abstentions President's Report— Hired the two contract employees and have gotten 50 new additions to the website. Have contacted almost all of the unlisted businesses. Looking to add 90 to reach our goal. City meeting for Ed! Budget is moved to 10/20. Treasurers Report - Total Assessment fee collected to date $62,721, total expenses $41,305. New Businesses — Jordana; Alison Norris Thearpy, Financial Services, International Corp, Robert Campbell Counseling, Klassy Kids TedX Talks; Jessica Hanaumi with Sno Isle Libraries — November 6t" 9-530- Expect 900 people with 1 hour lunch break and 45 minute breaks. Ed invited to do temporary directional signage and discuss how to promote the web site prior to. Suggest local restaurants set aside a section/quick meal option for attendees. Have Ed! send and introduction email to restaurant group. Attendees are mostly Snohomish and some King County. Sign up was through the library website. Invited 30 community thought leaders, did a brainstorm session on categories. Creating new futures. 4 sessions, each session has a sub theme. 5 year plan for annual events. Ed! can help: Welcome to Edmonds TedX on our feeder. Send an email to introduce restaurants to Jessica and a link to send out to the website. Ed! will staff a booth in the lobby onsite and create/provide a map of downtown option. Times of the breaks to be provided. Kimberly to help Cadence put it together. Business Cards — Nicole working on business cards and embedded button ($15) (can get it in reverse color option). Agreed to a bulk card with a blank email space available to all members. Pam makes a motion that we move forward with the business cards printing both Delighted and Invested as well as the Ed! online button, up to a spend of $300 in member engagement outreach. Robert seconds. Discussion: Jordana —is design included? Yes. All approved. No opposed. No abstentions. Small Business Projects — Looking for guidance on what expenditure amounts need to be approved. Is it in the bylaws? Do changes to the bylaws that do not influence the budget, need to be approved by city council? Do we need to make a companion to change the bylaws? To be added to agenda in the future for discussion. Workplan discussion — Cadence walk through the presentation; Feedback — Provide talking points from each committee. Jordana, Kimberly, Pam Photos of Balloons, bike rack, actual bus ad, 41" of July to be sent to Cadence. Updated the outline of recommended budget expenditure. Budget summary — updating some of the formatting. Committee Updates Marketing — Have secured sponsors for the trolley. Comstock, Walnut, Rick Steves, Housewares at a $1500 sponsorship. Logos included on the 15-20k direct mail piece, banner on the trolley. Received bids on the postcard design, able to work with original Ed! Designer on freelance basis. Holiday movie is secured, carolers/jazz on Fridays in the works, Santa will be on the trolley. Will know by next week if need Ed! to augment the budget. Directional Signs — The Port needs to be invoiced to make payment, cannot do it as a donation. Cindi/Patrick to work through getting an invoice from the city to the Port. The other payments have come in. Cascadia Art Museum to donate because of the addition to the way finding signs. City needs to invoice Ed! so that the money can be moved from our account to city account. Grant Program — Submitted grant for the Historic Walking Tour plaque in the new plaza. Asked for an amended proposal, so could fully understand the need. Outlined costs for individual elements. Pam requested a review of the graphics before they were finalized as part of the approval. Pam made a motion to approve the Edmonds Historical Museum Grant Request of $4000 for the walking tour steel structure. Robert seconded. Open for discussion — Clayton, good point on doing a preliminary request in being part of the visual input. Cadence has question on payment. We cannot just give $4,000 to the project, how do we invoice that? They send an invoice and show the back up for what the amount is going towards. This is a portion of the total 10k grant budget. All in favor, no opposed. City Update — Patrick; Holiday Market is moving forward. 16-18 vendors. Soft PR approach, poster. Vendors are secured. Thanks for the commitment to the restroom project. It is included in the budget presentation. Working on a public records request regarding Ed! and the creation of BID. New Business — Jordana — one bike rack left. Have some recommendations as to where to place. Question re: holiday lights. No budget ask this year. Public Comment — Peter Laylin behalf of the "trench". Mayor has a task force to evaluate the traffic/train traffic. Possibility of installing a trench to alleviate traffic pressures. Wants to educate business owners and make aware of the issue. Trick or treating — Saturday 10/31 S-7 businesses asked to have someone in front of store to keep flow of traffic. Meeting adjourned 9:33AM
