2016-11-10 Edmonds Downtown Alliance (BID) MinutesEdmonds • Downtown ALLIANCE November 10, 2016 8:00AM-9:30AM Edmonds City Hall, Brackett Room Meeting Minutes Attendees: Robert Boehlke, Pam Ehrbar, Cindi Cruz, Kimberly Koenig, John Rankin, Cadence Clyborne, Clayton Moss, Jacob Comstock Absent: Petra Rousu, Apple Catha, Kiersten Christensen, Shubert Ho Guests: Pam Stuller, Walnut Street Coffee; Piper Clyborne Call to order — 8:08 am President's Report — Robert shared; this is our only board meeting this month. Kiersten is planning to join us again starting again in December. Date has changed for our presentation to city council — is now Tuesday Dec. 13. Shared sign code update — from city council on Monday Nov. 71h Still looking for volunteers for TEDx on Friday Nov. 18. Introduced Piper Clyborne, Cadence's sister, who will be doing member outreach and visiting our member businesses and handing out materials. Approve Minutes - Approval of 10/27/16 Minutes — Cadence moves, John seconds; all approved, none opposed. Treasurer Report — John shared current financials for month of October. New Businesses in BID —Jacob - none to report this time. Email conversion proposal — Pam E shared pricing and details about program for potential email conversion to GSuite (Gmail platform). Currently using MediaTemple for board email service. Lots of frustration shared by board members, including draft emails disappearing, poor search capabilities, service downtime. GSuite business unlimited has Vault, where we can archive old emails and former board member emails to comply with public records requirements. Pam E mentioned potential for 501c3 discount and will ensure we qualify. Cadence made motion to approve up to $1200 to transfer our email service to GSuite Unlimited, assuming we can confirm cost per month of $75 and archival of outgoing board member emails if possible. John seconds, all in favor, none opposed. Committee Updates Marketing; Kimberly — Digital campaign for joint marketing effort with the city launches next week - will be edmondsholidays.com. Appearance & Env. — Clayton shared parking at last meeting; Patrick shared that recommendations were made, Mayor decided to call on an interdepartmental team, and to invite somone from Ed! or Economic Development Council to join. Parking enforcement has ramped up. Pam Stuller shared umbrella PPT reviewing history of program expense, and said may continue to have some loss year after year. Umbrellas are a permanent billboard, up year-round. Current bins no longer available at IKEA. Shared three stand options and sign pricing. Option 1 - $2000. Option 2 - $4000. Option 3 - $2520. Will discuss further at next meeting. Business Engagement & Outreach - Jacob and John are still talking to Salish businesses. Would be great to have all of this to share at Dec. 13 city council meeting. Professional Business Resources; Kimberly — purchasing window clings under Member Outreach. Phase two of web site updates — add folders on Reports & Minutes page, and tweak navigation on Eat & Drink navigation. Grants — no updates. Emergency Preparedness Event — Apple absent today; Pam E. shared that everything is in place for joint event with Chamber at Edmonds Library Plaza Room for Tues. Nov 151h. 49 attendees registered to date. Holiday Committee — Pam Stuller shared poster and materials that are being handed out to member businesses. Motion to approve budget for admin time — Piper Clyborne to visit member businesses; Pam E. to manage admin/database updates. Motion to approve up to $2000 out of Communication and Outreach budget to continue holiday and member outreach and admin updates by Pam E. Kimberly seconds, all approved, none opposed. 2017 Workplan PPT— Robert shared draft PPT to be shared at 12/13 city council meeting. Board reviewed slides and made suggestions. Next meeting will review proposed bylaw edits. City Update — Patrick shared posters for holiday market. Asked about expanding BID boundaries — Jacob and John still talking to businesses in Salish; would be great to have this all ready to share on Dec. 13 if possible. Patrick also shared business attraction event taking place Nov. 291h; would like an office -based business to be a part. Kimberly suggested contacting Ten Gun Design.
