Motioned for approve modifications to agenda by Stohn and Beth. Then motion for the minutes to be modified motioned by Beth and 2nd by Stohn. Treasurer's Report - The treasurer's report for December has not been received from City accounting department yet. Correspondence - Website updates required, deleting old site. - We have two student applicants. - Communication with Hekinan. - End of December Budget was approved for one chaperone with 5 students and two chaperones for 10. - Michelle and Beth will be going to Edmonds Woodway on Feb 91h at 2pm. - Carrie facilitated our annual retreat. Commissioners discussed about what thoughts and ideas were good as well as what needs to be worked on this year, in the next 5 years, and the 2013 Hekinan Delegation visit. Carrie will compile a priority list for each category at our next meeting. Old Business 2012 Student and Chaperone Recruitment - As of now we have three chaperones who signed up. - At our February meeting we will debate whether or not to continue with this year's student delegation if we do not have at least 5 students who New Business are signed up. - Next meeting continuing with the retreat's idea's for what to work on. Recruiting of Commissioners & Volunteers - Talked about the 3 chaperones. First is Jill from Meadowdale who will be going to Hekinan this year, also does Second is Beveak Yoze and third is Rachel Black. - Also talked about Kay who has lived 30+ years in Japan and was a university English Literature teacher and is skilled with newsletters and websites. - Mamiko Kobayashi (Ballard) Other miscellaneous items Marlene will be going to Japan and will visit Hekinan on 2/9. Adiourn 7:38 PM Next Meeting March 26th, 2012 Submitted by: Matthew Moore, Secretary Code for Commissioner Attendance Commissioners are required to attend at least 70% of the meetings in a calendar year and cannot miss more than 3 consecutive meetings. Absence is excused for any of the following reasons: • Business or employment reasons • Extended vacations of longer than two weeks • Illness or death in the immediate family (Though not stated in the code, we assume that illness of a commissioner is also an excused absence.) If a commissioner does not have regular attendance, the Mayor's office sends a letter to the commissioner to let him/her know the position needs to be vacated. A commissioner who needs to miss a meeting is required to e-mail the SCC chairperson prior to the meeting, giving the reason for the absence. Yoshitaka Inoue: inoueyx@comcast.net
