Chair's Report: Pam made a Kings HS contact and will be making a visit with Darlene Miller.
PR Report:
• Carolyn brought posters and materials for schools.
• The website navigation was discussed. If there are any changes made, they must be done by
Carolyn.
• Michele made a request that we get a new ESCC/Hekinan banner to use at events and school
visits.
• Michele will be doing the display at the Edmonds Library on February 5t" and a display at
Mountlake Terrace HS on February 22nd
• Posters will be delivered to high schools: Pam/Edmonds-Woodway, Karyn/Meadowdale and
Lynnwood, Michele/Madrona and Maplewood.
Student Report: none
Correspondence: We received two holiday cards. There was one from Hekinan and one from the
General Consulate. Pam will send cards out to them. There was a discussion on purchasing cards and
sending them later this year for the holidays.

Old Business:
a) City Council Presentation: Karyn and some students will do a video presentation on February 9tn
b) Chaperone Candidates for 2016: At this time, there are four candidate applications. There will
be two interviews on Thursday, January 28tn at 4:00 and 4:45pm by Karyn, Patrick and Pam.
There will be two interviews the following week, date TBD. Karyn will also contact Robert to see
if he is interested in going again.
c) Student recruiting for 2016: We have received three applications to date. The current deadline
is February 29tn
d) Elementary Classroom Visits: None have been done yet. Marlene will be setting those up soon.
Marlene also suggested that we consider getting a "Little Library," with a Hekinan/Edmonds
Sister City theme. Carolyn will look into possible locations near City Hall. We will discuss this
more once we have investigated location options.
New Business:
Retreat Topics:
a) What do we want to rethink?
• We need to be more deliberate in assigning duties during delegation visits. It is
more of a problem during the week when fewer commissioners are available.
• There will be a new senior center bus for us to use. We will hire a driver.
• Calendar: Michele did a calendar for us to review and revise. It will be confirmed
at our next meeting. We determined that the only meeting date that will change
in 2016 is December and we have decided the meeting will be on December
12tn
b) What do we want to keep?
c) How do we protect our participant's identity within the publicity context of Facebook, etc.? We
will revisit the current release form and revise it if necessary. Carolyn will also check with the
legal department.
d) 2015 video on website? The video is available on youtube.

e) How do we encourage our student's participation even if they can't reciprocate host
responsibilities? In our discussion we talked about better networking with our hosting families.
We also decided that we would decide on this on a case -by -case basis.
f) Dropped
g) 30t" Anniversary: This will be in 2018. Carolyn said that this will be a small delegation. The Mayor
will go and will invite other participants. We do not expect a large delegation from Hekinan.
