Administration
• Agenda: Michele moved to approve the agenda as written. Greg seconded. Motion passed.
• Minutes: Please see attached for notes from the January retreat.
• Financials: Carolyn reported a balance of $6,705.46 in the 100 account. . The 200 account has
$961 and the account at US Bank used for online donations has $446.
Continuing Business:
• Review of Calendar: Michele will send via email with explanatory notes. This is a working
document so comments and suggestions are welcome. Carolyn mentioned planning for the
adult delegation should begin around July and that recruitment efforts for next year's student
trip begins in September/October.
• Adult Delegation: The orientation was held last week. We now have 8 community members
going — Dave Earling, Sue Earling, lyoko Okano, Michele Fellows, Teresa Lawson, Katie Kelly,
Emily Scott, and David Huneke. The trip will run from March 31— April 6.
• Hekinan Visitors: There will be 12 visitors arriving from Hekinan in late October (tentative dates
are 10/26—11/3). They will stay at Harbor Square Inn; transportation has been secured.
Carolyn will get the main event dates set and then we can consider other outings. Regular
outings include Edmonds tours, Seattle Day including Space Needle, Market (Starbucks) and
Chihuly, Boeing Tour and a Halloween celebration. Also suggested were Facebook HQ tour,
Mariner Store, and UW tour. A sub -group will work with Carolyn later in the year.
Cascadia Museum has offered their space for the reception. There will be a Japanese
photographer exhibit in place at that time. We will need to cover food and beverages with local
business support. The Art Commission will also have the Hekinan exhibit up in their gallery at
Frances Anderson Center.

New Business:
• 2018 Meetings: The group approved all proposed dates for meetings, except December 2018
which will be announced later.
• Task assignments:
Media Calendar (Michele & Gillian) - Proposed topics by month are:
Education Boxes (Gillian & Karyn) — Patrick and Michele started clearing and inventorying items
and supplies in the room at City Hall. Gillian & Karyn will take a look at what they found and
come up with a list of needs. Donations of kimonos or other clothing are welcome.
Newsletter (Laura) — Karyn will ask the adult delegates to send in a written description of some
portion of the trip that we can use in the newsletter. Next publication tentatively set for May.
Standardizing procedures (Gabe) — Carolyn will send Gabe the documents she has.
