Call to Order: 7:OOpm

Administration:
• Agenda: Agenda was approved as written. Welcome Lindsey!
• Minutes: Minutes per approved as written
• Financials: Nothing new to report
Continuing Business:
• Review of Calendar: went over the calendar and how it should look to make it more user
friendly. Decided it would be easier to read in a list format, instead of the way it is now. Karyn
will have a draft ready for the upcoming meeting in April
• Adult Delegation: Karyn went over the 4 different sub -committees and discussed what needed
to be done for each of the groups.
o Commissioners wanted more information about the anniversary reception, i.e., number
of people, budget, what exactly the art museum will provide.
o They also thought a google doc would be beneficial for when we are getting
procurements, so we don't ask the same places.
o Also, did Carolyn already send out the letters to the businesses that we have used
before?
o Should we include former student delegates to help out in October?
o No one signed up for the committees yet as they wanted to talk more about the jobs
and when we should start everything
• Task committees:
o Gillian and Karyn need to find a time to meet at City Hall when Carolyn can let them into
the Sister City room.
o April Newsletter — we need to outline what we want in the newsletter and who will
write which piece. Then we need to work on the draft before our May meeting and send
it out the beginning of June.
o Standardizing procedures — Gabe will meet with Carolyn on this
o Communication/PR — everyone felt we needed a timeline for this with coordination with
Carolyn.
