Agenda: Karyn moved to approve the agenda as written. Patrick seconded. Motion passed.
Minutes: Laura moved to approve the August 28t" minutes as written. Karyn seconded. Motion passed.
Continuing Business:
• Newsletter/Distribution List: Laura completed the newsletter. It has been distributed through
our Facebook page, the Mayors' newsletter and on our website. Carolyn explained the concerns
about emailing people directly.
• City Council Presentation: We are scheduled for Monday, November 6 at 7 pm. Greg and Kaytie
will present as well as a few students — names TBA.
• 2018 Adult Delegation: The trip will run from March 31— April 6. A general announcement for
interested travelers went out. So far there are 15 responses. The applications will go out
November 1 and be due mid -November. At least one orientation will be held after the first of
the year. Japanese delegates will visit at the end of October. They will stay in hotels instead of
homestays this time. Commissioners should plan to assist with a reception during their stay.
• Student Exchange: Pam moved to host just one delegation in 2018, foregoing the student
exchange. Karyn seconded. After much discussion, the vote was 5 in favor, 2 against.
• Commissioner Recruitment: Gillian Lim has applied for a Commissioner position. Greg Lange is
expected to apply for one as well. This leaves at least 3 openings as well as the student
representative position.
New Business:
• Next Steps: The group discussed using the coming year to rebuild, recruit and establish
timelines and guidelines. Bring ideas of areas we should address and those which you would
like to work on.
