Gabe seconded. Motion passed. • Agenda: Michele moved to approve the agenda as written. Laura seconded. Motion passed. • Financials: There were no expenses since the last meeting. Continuing Business: • Val Claypool: 24/7 is willing to donate her time to the project, but is not interested in pursuing sponsorships. • Review of Calendar: Karyn distributed copies of the updated calendar. • Adult Delegation o Itinerary: Karyn offered to make a Sign Up for all the various volunteer jobs needed. There is room for commissioners to attend the day trips and those slots will be included. ■ One of our Edmonds delegates is willing to coordinate a tour of the Hibulb Cultural Center for the Hekinan delegates. A heritage site was included in the Hekinan trip. Karyn will find out if there is time on the "Ferry Day". ■ At a meeting on August 101", the Hekinan delegates will be able to make specific requests if they want to meet up with American friends on Friday night. We will know how many will need hosting after that date. o Sponsorships: The revised flyer will be available when Carolyn returns. We will evaluate the status of funding on August 27t", including any potential sponsors through the Mayor's office. Karyn will check with Carolyn about the grant received previously from Hazel Miller Foundation and if sponsorships are tax deductible. Lindsey will send out the Gmail list of potential sponsors to everyone. Page 1 of 2 o Sub -Committees: ■ Welcome: In addition to the gift bags, there will be some welcome gifts in their rooms. If you have ideas/contact for either, contact Carolyn. ■ Halloween: Based on the sponsorship dollars we are able to raise by the August meeting, we will decide whether to go forward with the Halloween Party or not. ■ 30t" Anniversary Party: Menus from 4 caterers are being reviewed. ■ Gift Bags: Lindsey is working on the tote bag possibility. Gillian is following up on quotes for the string backpacks. We would need any sponsors confirmed by early September to ensure logos on the bags. Dar send a list of specifications to the logo artist and expects some samples by the August meeting. New Business: • Council Presentation: The adult delegates will make a presentation to the City Council on October 2nd. The presentation should be near the beginning of the 7:00 pm meeting. Anyone who is available is encouraged to come. There are two potential new commissioners among the delegates who will be there. We will adjourn elsewhere after the presentation.
