• Minutes: Michele moved to approve the minutes as written. Greg seconded. Motion passed.
• Agenda: Greg moved to approve the agenda as written. Gabe seconded. Motion passed.
• Financials: There were no expenses since the last meeting.
Continuing Business:
• Adult Delegation
o Itinerary: Karyn passed around a sign up sheet for events and activities during the
Hekinan visit. Karyn is still checking on the possibility of adding Hibulb Center to the
itinerary. Marlene suggested also looking at Greenbanks Farm.
o Sponsorships: The group reviewed the targeted list and some businesses were
assigned.* The revised flyer was sent out via email. See Carolyn if you need hard
copies. (Note that the Advocate sponsor level also gets their name on the tote bag.)
Karyn confirmed the sponsorships are tax deductible. Lindsey will send out the
updated list to everyone. If businesses offer gift cards instead of cash, we should let
them know we may use the credit to purchase items for the visit. Lindsey will send
Karyn the sample solicitation letter so Karyn can send Carolyn a draft. It should include
a link to our website as well as a physical address to mail a donation. Other items
helpful for approaching potential sponsors are a script and a tax ID form. Lindsey can
also provide samples of these.
o Sub -Committees:
■ Welcome: Ideas for gift bags still welcome - contact Carolyn.
■ Halloween: Greg is working with Hamburger Harry's for in -kind donations. This
may be most helpful at the Halloween Party.
■ 30t" Anniversary Party: Menus from 4 caterers are being reviewed.

■ Gift Bags: Gillian will send Karyn information on the bags she found for under
$1.00 each.
New Business:
• Council Presentation: Please plan to attend the presentation to the City Council on October 2nd
at 7:00 pm.
• Student Exchange: Karyn noted it is time to start planning for recruitment of chaperones and
visits to the high schools. Greg is interested in helping with high school visits. Lindsey offered to
help with middle schools.
