Marlene seconded. Motion passed. • Agenda: Laura moved to approve the agenda as written. Greg seconded. Motion passed. • Financials: There were no expenses since the last meeting. Continuing Business: • Adult Delegation o Itinerary: Karyn ran through the itinerary for the delegation visit. Monday The group should arrive at the hotel around 2 pm. Carolyn and lyoko will meet them at the airport. Everyone else is invited to join us at Harbor Inn. After a short reception and snacks, they will be offered a tour of the marsh and then all go out to dinner with Mayor Earling. Tuesday — The group will travel to La Conner and the Hibulb Center during the day then have dinner at Arnie's. Commissioners are welcome to join the group for dinner at their own expense and with prior notice to Carolyn. Wednesday —The group will tour Edmonds during the day then meet in the Brackett Room for a light dinner. During the Halloween Trick or Treat event downtown, there will be a booth outside City Hall. At 7 pm, the Halloween Party will begin at the Plaza Room. Decorations are needed for the party! If you have any spooky decor we can borrow for the day, send Carolyn a list of items available. We will start decorating at noon. Commissioners are encouraged to help decorate, attend the dinner, staff the booth, and come to the Halloween P a rty. Thursday the group will explore Seattle during the day and come to the 30tn Anniversary celebration in the evening. We will have a display at the reception. Page 1 of 2 Valerie will be coordinating the event so commissioners should plan to come at 6:30 pm and stay to help clean up. There will be speeches starting at 7 p m. Shooby Doo will cater both the Halloween Party and the 301" Anniversary event. Friday The group will visit Olympia. Greg, lyoko and Carolyn will accompany them on the trip. Dinner will be hosted in local homes. Contact Carolyn if you want to host and haven't chosen your guest(s). o Sponsorships: There are enough sponsorship funds to host the Halloween Party. Greg is working with Hamburger Harrys to fund some of the Wednesday night food. He also approached the Tulalip Foundation for possible grants/sponsorships and will hear soon. Carolyn has confirmed donations from the Arts Festival, Rick Steves, and the Savvy Traveler. New Business: Council Presentation: Please plan to attend the presentation to the City Council on October 2nd at 7:00 pm. ALT: We should know in early October if we need to start recruiting applicants for the ALT position. Student Exchange: Dates for the trips are 7/24 to 8/5 and 8/9 to 8/21. Carolyn has updated the applications. Michele has a draft flyer to send to schools for chaperone recruitment and has updated the media releases. We will use the same poster so just need Michelle Rockstead to get it updated. Carolyn recommended having all/any materials submitted to the district for approval, not just the poster.
