CALL TO ORDER Chairman Pro Tern Kaleb Nichols called the meeting to order at 6:04 pm in room 123 in the Frances Anderson Center, 700 Main St, Edmonds II. MINUTES - Approval of 4/17/19 Minutes Motion to approve 4/17/19 meeting's minutes Motion carried unanimously III. GROUPME COMMUNICATION - The Commission needed a better method of communication, so all present members installed GroupMe - GroupMe group created with members present, absent members will be added at a later date IV. MAY RECRUITMENT - Each member will distribute at least ten flyers to people who will add diversity to the commission - Not everyone can be in, but they can contact Casey and get their emails on a list for recruitment in future years - Members whose tenure ends June 30, 2019, but want to reapply should let Casey know, so she knows how much recruitment work is necessary - Members whose tenure ends June 30, 2019: Page 1.1.2 Noah Erickson Alyssa Berman Caroline Wills - Sydney Pearson Nathanael Perdomo Talk to people in homerooms, email flyer will go out Important to advertise at every school, because even though the commission is primarily Edmonds Woodway High School students, the commission needs to maintain interest at Edmonds Woodway High School in the long term Presentations at school assemblies could be useful, but the deadline is May 25, and students have AP and IB tests this month - Kaleb can create something and send it to everyone via email for the presentation - The commission could also talk on morning announcements, or have a P.A. announcement during homeroom - 3-5 minutes V. MEETINGS: TIMES & DAYS At the last meeting, the commission proposed extended or additional meetings Instead of 6:00-7:30, try 6:00-8:00 instead of adding another day to start, because adding another day is a bigger logistical challenge Should the commission agree upon this, Casey will send out a press release where the Youth Commission meets from 6:00-7:30 and have a "Special Meeting" from 7:30-8:00, meaning that the commission will not need to amend the ordinance The commission is also considering scheduling extra meetings for Leadership, or have optional informal additional meetings For the future, could the commission schedule Youth Commission retreats for whole days? Motion to add a "Special Meeting" to the end of each Youth Commission meeting from 7:30-8:00 p.m. on top of the commission's normal meetings Motion passed unanimously Noah Erickson moved to modify the agenda to discuss Teen Nights prior to Monthly Partnerships and Quarterly Youth Forums. The minutes will reflect this change as well. Motion passed unanimously VIII. TEEN NIGHTS Page 1.1.3 At the last meeting, the commission discussed having one "teen night" a month (not called "teen nights") Partner with organizations who run these activities - Brainstorm: - Swing Dance - Open Mic - Edmonds Theater or Driftwood Players - Beach Bonfire? Would need permits - perhaps Meadowdale Beach Park? - Have students burn their assignments in June? - Night Hike could be combined with the bonfire - Bounce Night; use gymnastics equipment - Have some kind of teen TED Talk -related event; sponsorship? - Bubble Soccer - liability waivers - Arcade - Segway Day - liability waivers - Whirlyball - basketball from bumper cars - Outdoor movie night in the park - $3,000 per movie; need sponsors - Investigate having food trucks at some of these? - Live music - Edmonds Woodway High School's Jazz 1, local bands - Kickball - school fields (with a trophy?) or other sports - Beach cleanup or other volunteer activities - Polar Bear Swim - Breakfast/Brunch - Shirt Tie -Dying - Possible locations: - Meadowdale Beach Park - Edmonds Theater - Edmonds Center for the Arts - Driftwood Theater - Schools - Frances Anderson Center Saturday nights usually work well for people - First Friday or Saturday of the month? Name ideas - Funny; play off of "Dead-monds" or "DEDMONDS" VI. MONTHLY PARTNERSHIPS - Helping fundraise for people, or organizing volunteer events, etc. - Possible Partnerships: - Food banks Page 1.1.4 Caitlin can contact Lindsay, who is youth organizer, most likely Monday nights Ask local businesses for supplies or baby food to donate (combines supporting the community while working with local businesses) - Also making toiletry kits? Rotary Club Diversity Commission - Students Saving Salmon Key Club Local businesses in general Homeless shelter - Acts Of Kindness Club Soup Kitchen Get teens to volunteer at end -of -year carnivals at their old elementary schools Non -Profits - Corporations Parks & Rec Department - Parks Crews to do ivy pull - Rangers to do a beach cleanup - Chamber of Commerce - Taste of Edmonds - Some kind of cleanup thing? Perhaps called "Trash Warriors"? - Sorting garbage (recycling, garbage, compost)? - City Council During these events, design a vest so people know who is on the Youth Commission - Vests can button over whatever each commission member is wearing - Design a stencil and paint with fabric paint? Takes no money and could be cool VII. QUARTERLY YOUTH FORUMS - Reaching out to youth, allowing them to give the commission advice on the change they want to see in the community with an open mic - Four times a year - Should be free - The commission could also partner with the Diversity Commission for one forum - Location: Frances Anderson Center seems best to start - Frances Anderson Center is good, not quite a full -on stage so it wouldn't be a panel, but the commission can get it for free and it would be easy - E.C.A. is good but huge so there would be lots of separation Page 1.1.5 Driftwood Players is good, but might not do anything but theater events? But some commission members have some connections there, though it might be busy Phoenix Theater in Firdale Village Format: - Quarterly forum - Panel - Q&A with panel answering - Invite experts/speakers depending on topics - Free - After school - Variety of topics? T.B.D. - Themes per forum instead of being too broad or too specific - Three -segment structure: 1. Intro + Panel Discussion + Icebreakers/group activities 2. Breakout Group 3. Group Sharing + Q&A - With the theme, the commission can research and present - Time? Four hours, or something T.B.D. - Start with smaller forums, expand as the commission become more experienced - Additional possibility: the commission could instead talk about what the commission is doing and hear what the public thinks the commission should do. - These can be used to ascertain teen interests Homework: IF YOU DO NOT HAVE THE CONTACT WAIVER TURNED IN, IT HAS TO BE INTO CASEY BY WEDNESDAY NEXT WEEK Think of a different name for "teen nights" Think about formats for youth forums Casey will send an email to each commission member with a couple of activities that they need to research more deeply Mike Nelson may attend the commission's next meeting IX.
